Privacy Policy

Last updated: 28 October, 2026

This policy applies to our corporate website (focalise.ai), and all Focalise applications.

Privacy and security are of the utmost importance to Focalise, and we strive to ensure that our technical and organisational measures respect your data protection rights. Wherever possible, we minimise the amount of personal data we collect, and where data is collected it is with informed user consent, encrypted in transit and at rest.

"Personal data" is any information about one of our Users which could, alone or together with other information, personally identify them or otherwise be reasonably linked or connected with them, for example an email address, a real name, an Internet Protocol (IP) address, or a photograph.

1. Who we are

This policy is issued by Focalise Ltd ("Focalise", "we", "us"), registered in Scotland under company number SC768069 with registered address, 2nd Floor, Witherspoon Building, 10 Storie Street, Paisley, PA1 2AR, UK. We are the data controller for the personal data described in this policy, unless stated otherwise for a specific product or service.

We are committed to compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. What data we collect

Our website:

Our website at focalise.ai  collects no personal information beyond basic hit logging (page requests). We do not log IP addresses against these hits, and we do not use cookies or third-party tracking or advertising technologies on the website.

Focalise Mission Centre and applications:

To use Focalise applications, including the Mission Centre, you are required to provide personal licence keys, login names and passwords. Data provided during the use of these applications, personal or otherwise, is made available to Focalise systems to enable accurate analysis, classification and storage. For example, video, location and derived results are stored in encrypted format on Focalise infrastructure to enable application functionality. No data is shared with external entities.

With your explicit consent, we collect anonymous app usage statistics using the analytics mechanisms provided by your device's operating system. Focalise is not the data controller for this analytics data; the operating system provider (Apple or Google) controls it, and we have view access to aggregate statistics under their terms. Further information: Apple – App analytics & privacy and Google – Privacy Policy.

Data Volunteer Program:

Use of Focalise Applications means that you agree to App to volunteer your data to Focalise for the purposes of AI model training and optimisation. Personal data submitted to Focalise is treated in line with UK GDPR. We collect:

  • Email address, collected when you subscribe to Focalise, and linked to your user and licence ID so we can identify your data if you wish to exercise your GDPR rights. We do not use your email address for marketing.
  • Task data, video/audio recordings of your missions, including geo-location and device data, and mission metadata supplied by you are collected and stored to facilitate accurate analysis, classification and retrieval of original data and results.

Information you give us through our website forms:

When you book a demo, make an enquiry or fill in any other form on our website, we collect the details you provide. This usually includes your name, work email address, company name and job title, and may also include your phone number, country, how you heard about us and anything else you choose to tell us.

How we use it:

We use these details to respond to your request, for example to arrange and deliver a demo or to answer your enquiry, and to follow up on it. We won’t share your details with anyone for their own marketing.

Marketing emails:

Our forms may include an optional box you can tick if you’d like to receive news, product updates and other content from Focalise by email. We’ll only send you these if you tick it, and your consent is our legal basis for doing so. You can change your mind at any time by clicking the unsubscribe or “Manage preferences” link at the bottom of any email or by contacting us at support@focalise.ai. Opting out won’t affect your request.

Where your details are stored:

Form submissions are stored and managed in HubSpot and Kajabi, our customer relationship management platforms, which acts as a data processor on our behalf. HubSpot may process data outside the UK, including in the United States. Where this happens, we make sure appropriate safeguards are in place, such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Agreement.

How long we keep it:

We keep your details for as long as needed to handle your request and any ongoing business relationship. If we haven’t been in contact with you for 24 months, we’ll delete or anonymise your information unless we need to keep it for legal reasons.

3. How we use your data and our lawful basis.

We rely on the following lawful bases under Article 6 of the UK GDPR:

  • Website hit logging — necessary for our legitimate interest in monitoring the availability and technical performance of our website (no personal data is retained against these logs).
  • Application usage statistics — based on your specific, explicit consent, which you may withdraw at any time through your device settings.
  • Voluntary provided data — email address: necessary for our legitimate interest, and our legal obligation, in being able to identify your data so you can exercise your GDPR rights.
  • Voluntary provided data — task and mission data (video/audio, geolocation. device and mission meta-data and feedback): based on your specific, informed consent, is given for each task and mission; you may withdraw this consent at any time by contacting us.
  • Responding to your enquiries and GDPR requests to comply with our legal obligations.

We do not use volunteered data to make solely automated decisions that produce legal or similarly significant effects on you. Task data is used to improve our AI products. This is model development and research, not automated decision-making about you as an individual.

4. Who we share your data with.

We do not sell your personal data. We do not share your data with third parties for their own marketing purposes.

5. International transfers.

Our third-party service providers may process data outside the UK or EEA. Where this happens, we ensure appropriate safeguards are in place, such as the UK International Data Transfer Addendum or EU Standard Contractual Clauses, and we take reasonable steps to configure regional data storage (e.g. EU/UK data centre regions) with our providers where this is offered.

6. Data retention.

Your data and task data are retained until you ask us to stop, or until the research project for which they were collected concludes, whichever is earlier.

If you ask us to withdraw your data, we will remove it from our active dataset within 30 days of a validated request. Because our systems are also protected by rolling backups, copies of your data may persist in encrypted backup storage for a further period, and will be fully purged, including from all backups, within 180 days of a validated request.

Support emails sent to support@focalise.ai are retained for as long as needed to resolve your query and comply with our legal obligations, and are not kept longer than necessary.

7. Your rights.

Under the UK GDPR, you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Request erasure of your data ("right to be forgotten"), subject to Section 6 above.
  • Restrict or object to certain processing.
  • Receive your data in a portable format.
  • Withdraw consent at any time, without affecting the lawfulness of processing before withdrawal.
  • Lodge a complaint with the Information Commissioner's Office (ICO).

To exercise any of these rights, email support@focalise.ai from your registered email address, or write to:

8. Children's data.

Our website and applications are not directed at, and are not knowingly used to collect data from, children under 18. Where a specific research study or feature is open to participants under 18, we will set out in the relevant consent materials what additional data is collected and what additional safeguards apply.

9. Security.

We take the security of your personal information seriously. Data in transit is encrypted using protocols such as Transport Layer Security (TLS). Data at rest is stored in encrypted form, on systems with limited internet access, housed in facilities using physical security measures.

10. Cookies & similar technologies.

Our website does not use cookies or similar tracking technologies. We do not use third-party tracking or advertising cookies.

11. Changes to this policy.

We will update this policy from time to time as our products and services change. The current version will always be available at focalise.ai/privacy, with the version number and date shown at the top of this document.
